Destination, check-in and check-out dates, nights, travellers, departure city, budget (and whether it's per person), preferred accommodation, traveller type and the reason for the trip. Each one in its own field, not in a loose note.
The agent fills in the record
While it talks to the customer, the agent writes down what it learns. It also records how specific each detail is: "sometime in July" is not "12 to 19 July", and that difference changes what can be quoted.
An owner assigned without anyone assigning
Routing looks at who sells that destination, who speaks the customer's language and who handled them before. If the customer comes back, they come back to the same person.
Five stages, and a single source of truth
To handle, In contact, Quoted, Won and Lost. When the agent qualifies an inquiry and hands it off, the card lands in To handle with an owner already on it; when that owner logs the contact or sends the quote, the card advances on its own.
The full customer record
Every conversation with that person, on any channel, their past trips and what they've said about how they like to travel, available while you're talking to them.
Follow-ups that don't get lost
Quiet opportunities speak up on their own: the reminder reaches the rep in their daily digest, and anything that goes a month without movement is marked dormant instead of cluttering the board. Both windows are set by each agency.
