Move from another CRM

Bring your customers and opportunities from Kommo, HubSpot, Pipedrive or a spreadsheet, without duplicating anyone and without sending a single message.

If you come from another CRM, you don't have to load your book by hand. Export it as CSV or Excel and upload it in Customers › Import. Trama reads the file, recognizes the columns and shows you what will happen before saving anything.

Importing is for the owner or an admin of the organization.

1. Export the file

  • Kommo: export the leads or the contacts from the list, as Excel or CSV. Kommo splits large exports into files of 500 records: import them one at a time.
  • HubSpot, Pipedrive or a spreadsheet: a CSV or Excel file with one row per customer or opportunity, and the column names in the first row.

Each file takes up to 10,000 rows and 10 MB.

2. Check the columns

Trama proposes what each column is from its name, in Spanish, English or Portuguese, and it recognizes the names Kommo, HubSpot and Pipedrive use. Fix what you need: anything left on Don't import is not loaded.

You can import the name (full, or first and last), the phone, the email, the city, the country, the tags, the notes, the seller and the creation date. If you also create opportunities, the stage, the loss reason, the amount, the currency, the destination and the title too.

At least one phone or email column is required: it's what identifies each customer.

3. Choose whether to create opportunities

With Create an opportunity per row on, each row also comes in as an opportunity on the board.

  • The stage of your CRM goes to one of the five columns: To handle, In touch, Quoted, Won or Lost. Trama suggests it from the name ("Quote sent" goes to Quoted, "Closed won" to Won) and you change it if it doesn't fit.
  • A lost one carries its reason. If the file has one that matches your loss reasons, that one is used; if not, it's filed under "Other" with the text from the file.
  • The seller is looked up by email or name among your team members. If the row has none, or we don't find them, the opportunity goes to the seller you choose for that.

4. Look at the preview

Before importing you see how many customers are new, how many already existed and how many rows are left out, each with its reason.

An existing customer is recognized by the phone and, failing that, by the email, the same way as when they write to you on WhatsApp. They aren't duplicated: their empty fields get filled and nothing they already had is overwritten. If the same person appears on several rows (one per enquiry), they become one customer with their opportunities.

If the file is large, the import keeps going even if you leave the screen.

What you import triggers nothing

  • Nobody gets a message. Imported records don't receive the automatic first touch.
  • The team isn't notified for each row, and the cards don't show up in My day's to-dos until someone moves them.
  • It doesn't use your plan's opportunities: like the ones you create by hand, they aren't charged.
  • The creation date is kept if the file has it.

An open opportunity nobody touches goes dormant like any other, with your organization's inactivity period counted from the day of the import.

Undo an import

In Previous imports you can undo any import. The customers and opportunities it created are removed, and existing customers get back what it added. Anything with activity since, like a conversation, is kept.
